WORKING TEMPLATE / CLIENT BILLING

A clearer record behind each client bill.

Use this editable CSV to organise call records and the billing rules you have agreed with each client. It opens in common spreadsheet applications and requires no account.

What the template includes

  • Call date, time zone, client and call channel
  • Actual duration and reviewed billed minutes
  • Hourly rate, currency, rounding interval and minimum
  • Charge, review status and notes

The template is a record structure. It contains no automatic calculations, sample customer data or tax formulas.

Before the first bill

Confirm the rate, currency, rounding, minimum and any non-billable activities with the client. Decide how to handle dropped calls, reconnects and calls involving more than one client.

A billing template does not establish those terms. Record the agreement separately and use the same rules consistently.

A practical review routine

  1. Confirm that each record belongs to the correct client.
  2. Check duration and reconnects against the original call record.
  3. Apply the agreed rounding and minimum rules.
  4. Review exceptions and any excluded or non-billable time.
  5. Confirm the time zone and billing period before sharing the bill.

Call participants and client names may be confidential. Store completed records in the appropriate business location and share them only with authorised recipients.
